Microsoft 365: How to copy or move files to OneDrive

Follow these steps to copy or move files to OneDrive. We’ll also show you how to download files from OneDrive and how to access files to work offline. 

Copying Files to OneDrive

When you copy files to OneDrive, they’ll exist on both your computer and OneDrive.

  1. Open the OneDrive app.
  2. Tap or click folders to browse to the location on OneDrive where you want to add the files.
  3. Swipe in from the top or bottom edge of the screen or right-click to open the app commands, and then tap or click Add files.
  4. Browse to the files you want to upload, tap or click to select them, and then tap or click Copy to OneDrive.

Moving Files to OneDrive

When you move files, you’re removing them from your PC and adding them to OneDrive.

  1. Tap or click the arrow next to OneDrive and choose This PC.
  2. Browse to the files you want to move, and then swipe down on them or right-click them to select them.
  3. Tap or click Cut.
  4. Tap or click the arrow next to This PC and choose OneDrive to browse to a folder in your OneDrive.
  5. Swipe in from the top or bottom edge of the screen or right-click to open the app commands, and then tap or click Paste.

Downloading files from OneDrive:

  1. Open your OneDrive and select the files and/or folders that you want to download.
  • To download only some files or folders, click the circle checkbox next to the items.

  • To download all files, press CTRL+A or click on the circle in the first row.

  • Go up or back one level as needed to download the entire folder instead of its content.

 

2. After selecting the files/folder, click on Download.

Note: The Download button appears only after at least one file, or folder is selected. The Download button might disappear if you refresh the web page when selecting files/folders. As a workaround, close the tab in your browser and look for the required folder again or go up one level in the folder directory and come back.

  1. If your browser prompts you, select the Save or Save As option and choose the location where you want the downloaded content to be saved. Some browsers, however, save the content directly to the Downloads folder on your computer.

To free up space on your OneDrive, download the file/folder to a different location. To reduce your storage, you can then delete the OneDrive file/folder.

Selecting multiple files/folders will download a .zip file with all selected contents. Selecting the Download option without selecting any files/folders will download all folder content.

Note:

  • Downloading OneNote notebooks will download a .txt file error message.
  • You cannot use Internet Explorer to download multiple folders or files when using OneDrive for Business. Use alternatives like Microsoft Edge or Google Chrome.
  • The individual size limit is set to 15GB, while the total zip file limit is set to 20GB. The total number of files you can download is set to 10,000GB.

Downloading files in a OneDrive mobile app to work offline:

This option is available in the OneDrive app of iOS, Android, and Windows 10 phones.

1. Press and hold the file that you want to access offline.

2. Then, select the Keep offline button  .

Note: OneDrive app does not allow OneNote notebooks or folders for offline working.
